SuperiorPayments

Accounting integration

QuickBooks Desktop

Embed payments into Pro, Premier, and Enterprise.

All integrations

Run card and ACH payments without leaving QuickBooks. Receive Payments and Sales Receipts post directly to QuickBooks Desktop, deposits reconcile to a clearing account, and tokenized vault profiles keep raw card data off your workstations.

What you get

Workstation plug-in

Installs as a QuickBooks Web Connector or COM plug-in. No middleware servers to babysit and no data leaving the merchant's network unencrypted.

Tokenized vault

Customer cards and bank accounts are tokenized at first capture so workstations never store raw PAN or account numbers — drops PCI scope dramatically.

Recurring billing

Schedule weekly, monthly, or custom-cadence draws against tokenized profiles. Billings post to QuickBooks the moment funds settle.

Reconciliation feeds

Daily settlement detail posts to a clearing account, with deposit splits matching the bank statement. Cuts month-end reconciliation from hours to minutes.

How it works

From install to live traffic on QuickBooks Desktop.

No middleware to maintain, no PCI-scoped infrastructure to host. The flow below is the same whether you're a small business or processing nine figures a year.

  1. 1

    Install the plug-in

Run the Superior Payments installer on the QuickBooks workstation (or each workstation in a multi-user setup). The plug-in registers as a QuickBooks Web Connector or COM app and adds payment buttons inside Receive Payments and Sales Receipts.

  2. 2

    Tokenize on first capture

The first time you charge a customer, the card or bank account is tokenized into our PCI Level 1 vault. The QuickBooks customer record stores only the token reference and last4 — workstations never see PAN after this point.

  3. 3

    Process from inside QuickBooks

Apply payments to invoices, run sales receipts, or kick off recurring drafts directly from the QuickBooks UI. Authorizations route through Superior with AI fraud scoring on every transaction.

  4. 4

    Reconcile automatically

Daily settlement detail posts to a clearing account in QuickBooks. Deposits match your bank statement penny-for-penny, including fees broken out for accurate cost-of-payment accounting.

Who runs it

Where QuickBooks Desktop merchants get the most lift.

Three merchant profiles where this integration consistently pays back in the first quarter.

Professional services & contractors

Send a QuickBooks invoice, customer pays by clicking a pay-link, and the invoice marks paid automatically. No manual matching.

B2B distributors & wholesalers

Level II/III data auto-fills from QuickBooks line items — corporate-card transactions qualify for the lowest interchange tiers without rekeying.

Subscription & retainer businesses

Tokenized customer profiles drive monthly recurring drafts. Failed renewals retry through account-updater coverage; QuickBooks shows the renewal posted when funds settle.

Frequently asked

Common questions from merchants evaluating this integration.

Do we have to host any payment infrastructure?

No. The plug-in talks to our PCI Level 1 vault directly. No middleware server, no PCI-scoped database, no IT-managed service to maintain.

What's the PCI scope impact?

Tokenization moves raw card data off your workstations entirely. Most QuickBooks Desktop merchants qualify for SAQ-A or SAQ-A-EP after switching to the integration, vs. SAQ-D before.

Can we surcharge to cover card fees?

Yes, where state law permits. The plug-in adds an itemized surcharge line to the QuickBooks invoice with proper disclosure language, per Visa and Mastercard rules.

Will this work in a multi-user / hosted QuickBooks setup?

Yes. The plug-in works on standard multi-user installs and on QuickBooks hosted environments (Right Networks, Cetrom, etc.). For hosted setups, the install is typically done by the hosting provider.
